This privacy policy sets out how Balance Your Mind (BYM) uses and protects any information that you give when using this website, by phone, in writing and/or verbally during therapy sessions from the first-time contact is made. The data controller and processor for BYM is Junaid Khan. 

BYM is registered ​with the Information Commissioner’s Office (ICO) and follows the highest standards of compliance with United Kingdom data protection laws and regulations such as General Data Protection Regulation (GDPR, 2024).

What type of information do we collect?

​ All information collected during therapy sessions is to be considered as medically sensitive data. 

We collect the following information:

  • Name and job title

  • Contact details such as names, addresses, telephone numbers, email address and emergency contact(s)

  • Personal demographics (including gender, race, ethnicity, sexual orientation, religion)

  • Personal details of why service is accessed

  • Other information relevant for therapy

What we do with the information we gather

We require this information to understand your needs and provide you with a better service. Information will not be shared or disclosed to third parties without your prior consent unless there is a considerable risk to yourself or other people. BYM may be obligated to disclose information to the police, regulatory bodies or legal advisers in connection with alleged criminal offenses when required. 

How do you store, use, share and disclose your personal information?

BYM is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our service to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall.

All data gathered is treated securely. Paper files/documents are anonymised and stored in a locked filling cabinet. All personal data is kept on a secure password protect laptop and electronic data such as word documents, PDFs are all password protected. However, it may not be possible to protect emails in this way and BYM cannot guarantee the security of data this way. 

How long is data stored for?

By complying with BPS and insurance requirements, BYM are required to keep notes for at least 10 years from the last contact. 

How can you withdraw your consent?

If you do not wish to process your data anymore, or would like to have the right to access the data stored about you, then please contact us at junaid.khan@bymtherapy.co.uk

Can I request for my notes?

​It is possible to request your notes. Please contact your therapist.

Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.

Privacy policy updates 

BYM reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
